Total Venue Concepts

App Terms, Privacy & Data Usage

Effective September 4, 2026 · Version 1.2

Required App Agreement

TVC Ownership and Limited-Use License

The TVC Traction Compound Manager BETA, including its software, design, features, forms, reports, processes, content, documentation, trademarks, and related intellectual property, is owned by Total Venue Concepts ("TVC") or its licensors. The App is licensed for limited use and is not sold or transferred. Any subscription, lease, loan, trial, beta access, or other permission to use the App gives the customer or vendor only a limited, revocable, non-exclusive, and non-transferable right to use it for the authorized racetrack or business during the period approved by TVC. No ownership interest is transferred.

Without TVC's prior written permission, users may not copy, reproduce, modify, adapt, reverse engineer, decompile, disassemble, create derivative works from, sell, resell, sublicense, rent, distribute, publish, disclose, or use the App or its contents to create or support a competing product or service. Track IDs, PINs, invitations, and access links may be used only by authorized users and may not be shared with another racetrack, business, customer, vendor, or unauthorized person. Each customer or vendor is responsible for activity by its authorized users.

TVC reserves all rights not expressly granted and may suspend, restrict, or revoke access for unauthorized use, access sharing, copying, misuse, nonpayment, or violation of these terms. Because this is a beta version, TVC may modify, replace, limit, or discontinue features or access while the App is being tested and improved.

Privacy Policy

This Privacy Policy explains how Total Venue Concepts ("TVC," "we," "us," or "our") collects, uses, discloses, and protects information through the TVC Traction Compound Manager BETA (the "App"). It applies to racetrack owners, managers, employees, and other authorized users.

1. Information We Collect

We collect information that users provide, information created through use of the App, and limited technical information needed to operate and secure it. This may include:

  • Names, business email addresses, mobile numbers, roles, Track ID/PIN account records, and invitation records.
  • Racetrack name, billing business name and address, ZIP or postal code, Track ID, time zone, ownership requests, and account status.
  • Traction compound and other product brands, mix formulas, quantities used, inventory balances, inventory additions, supplier order numbers, order activity, and weekly reports.
  • Device identifiers, timestamps, security records, and similar operational information generated when the App is used.
  • Messages, support requests, and other communications sent to TVC.

2. How We Use Information

We use information to provide and administer the App; authenticate users; create unique Track IDs; prevent duplicate owner accounts; manage invitations, roles, and ownership changes; calculate mixes; maintain inventory and order records; produce weekly and historical reports; communicate about accounts, service, support, products, and orders; secure and troubleshoot the App; improve our products and services; and carry out the commercial uses described in the Data Usage Policy below.

Mobile numbers may be used for account, service, or support communications and, if TVC later offers text messaging, only as permitted by applicable law and any additional consent that may be required.

3. How We Disclose Information

We may disclose information to hosting, authentication, database, email, analytics, security, support, and other service providers that help operate the App. We may also disclose relevant information to selected traction-compound manufacturers, product suppliers, distributors, and fulfillment partners as described in the Data Usage Policy.

We may disclose information when required by law, to protect the safety, rights, property, or security of TVC or others, to investigate misuse or fraud, or as part of a merger, financing, acquisition, reorganization, or sale of business assets.

TVC does not sell personal information for cash. Some privacy laws define a "sale" or "sharing" more broadly. Where such a law applies, you may contact us to exercise any applicable opt-out right. We do not use App information for third-party targeted advertising.

4. Retention and Security

We retain information for as long as reasonably necessary to provide the App, maintain accurate business and transaction records, generate reports, resolve disputes, enforce agreements, meet legal obligations, and support the uses described in these policies. Retention periods may differ by record type.

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system can guarantee absolute security, and users are responsible for protecting their sign-in credentials and promptly reporting suspected unauthorized access.

5. Your Choices and Privacy Rights

You may request access to, correction of, or deletion of personal information by contacting TVC. Depending on where you live and subject to legal exceptions, you may have additional rights, including rights to know, correct, delete, restrict, object, opt out of certain disclosures, or appeal a decision. TVC will verify requests before responding and will not unlawfully discriminate against a user for exercising an applicable privacy right.

Track owners and managers can update certain team and track information in the App. Some records may be retained when needed for legal, security, reporting, transaction, or legitimate business purposes. Statutory privacy rights are not waived by accepting these policies.

6. Children’s Privacy and Geographic Use

The App is a business tool and is not directed to children under 13. We do not knowingly collect personal information from children under 13. The App is operated from the United States, and information may be processed and stored in the United States or other locations where our service providers operate.

7. Policy Changes

We may update this Privacy Policy and the Data Usage Policy as the App and our business practices evolve. We will post the new effective date and version. If a change materially expands how identifiable track or user information is used or disclosed, we will provide appropriate notice and request a new acceptance when required.

Required App Agreement

Data Usage Policy

This Data Usage Policy is part of the agreement required to register a racetrack account or join a track team. It explains the operational and commercial uses of track and product data in the App. It is not an optional supplier-sharing program.

1. Data Covered by This Policy

This policy covers racetrack identity and location, Track ID, authorized user contact information, product brands and types, mix formulas, quantities used, inventory levels and additions, order activity, supplier details, usage trends, and reports or insights derived from that information (collectively, "Track and Product Data").

2. TVC’s Authorized Uses

By accepting this policy, the user and the racetrack or business the user represents authorize TVC to collect, store, organize, combine, analyze, and use Track and Product Data to:

  • operate the App and provide mix, inventory, team, order, and reporting functions;
  • prepare weekly reports and historical comparisons for each track, including traction compound usage by brand, use of methanol, MEK, SLR, HR, and other products, and products added to inventory;
  • identify product demand, usage patterns, low inventory, reorder timing, and potential sales opportunities;
  • recommend products, quantities, suppliers, services, or operational improvements;
  • contact tracks about support, product availability, quotes, orders, fulfillment, promotions, and other business opportunities, and facilitate future product orders;
  • support TVC sales planning, supplier relationships, market analysis, product development, and business development; and
  • create aggregated or de-identified statistics, benchmarks, and insights that do not reasonably identify an individual user.

TVC may receive a commercial benefit from these uses, including revenue from referrals, resale, order facilitation, supplier relationships, or sales made using insights from the App.

3. Supplier, Manufacturer, and Distributor Disclosure

For TVC contractor entries, prep notes and material usage will be shared with TVC and the selected track.

TVC may disclose relevant Track and Product Data—including track name and location, appropriate business contact information, product brands and quantities used, inventory levels, reorder needs, and order information—to selected manufacturers, suppliers, distributors, and fulfillment partners for product support, sales follow-up, quoting, order routing, fulfillment, forecasting, account service, business development, and to facilitate future product orders.

We intend to limit these disclosures to information reasonably relevant to the recipient’s products, services, or business relationship with the track or TVC. Recipients may process information under their own privacy practices. TVC does not authorize recipients to use App information for unrelated consumer advertising.

4. Required Acceptance and Authority

Acceptance is required for racetrack owners, managers, and invited employees to use the App. If you do not agree, do not register, accept an invitation, or use the App. By accepting for a racetrack or business, you confirm that you are authorized to provide the information you enter and to accept this policy for yourself and, where applicable, for that racetrack or business.

Ending use of the App does not require TVC to delete records that must be retained for legitimate business, transaction, reporting, security, or legal purposes. You may contact TVC about future use of identifiable information or any rights available under applicable law.

5. Contact Us

Questions, privacy requests, and data-usage requests may be sent to kjohnson@totalvenueconcepts.com. Please include the racetrack name and Track ID, if available, so TVC can locate the correct account.

Acceptance record

When a user checks the required box during registration or invitation acceptance, TVC records the user’s submitted business email, track, acceptance time, acceptance context, and policy version.
