Help & Instructions

A guide for track owners, managers, employees, and TVC contractors. Share this page with your team.

1. Set up or open a track account

  1. Open the app while connected to the internet. Mobile data and Wi-Fi both work.
  2. New owner: choose New Track and complete your track, business, and contact information. Create and confirm your PIN, review the policies, and create the track account.
  3. Save your permanent Track ID. Your track’s employees use this same Track ID with their own email and PIN.
  4. Returning user: choose Track Sign In and enter the Track ID, your email, and your own PIN. New PINs are labeled seven digits; six- or seven-digit PINs are accepted.

Register the track once. Employees join through the owner’s invitation; they do not create a separate track account.

2. Put the TVC icon on your phone

Open the app link on the phone and tap Install App at the top.

  • Android / Chrome: follow the install prompt. If it does not appear, open Chrome’s ⋮ menu → Install app or Add to Home screen and confirm.
  • iPhone / Safari: tap Share → Add to Home Screen. If shown, enable Open as Web App, then tap Add.

Tap the TVC icon to open the app in its own window. Use the same account and Track ID. If the new window asks you to sign in, enter your own email and PIN again.

3. Owner: add employees under your track

  1. Sign in to your track as the owner and open Team & Settings.
  2. Under Invite an Employee, enter that employee’s email address.
  3. Choose Employee for routine mix entry and inventory access, or Manager for corrections, additional reports, and settings. Only the owner can create invitations.
  4. Tap CREATE INVITATION.
  5. Tap Copy invitation and paste it into a text, WhatsApp message, or email to that employee. Or tap Email invitation, which opens your email app; review and send the message there. Creating an invitation does not send an automatic email.
  6. The employee opens their invitation link while connected, enters their name and mobile number, creates and confirms their own PIN, accepts the policies, and joins the track.
  7. Their account is attached to your existing track. Their mixes use your track’s inventory and appear in your track’s history and reports under the employee’s email.

Send each employee their own invitation and keep the links private. Invitations expire after seven days; create another if needed. An employee should not use the owner’s PIN or select New Track. For later sign-ins, give them the permanent Track ID; they use their invited email and personal PIN.

4. Calculate and record a mix

  1. Open New Mix and confirm the track and operator.
  2. Select US or Metric. Enter the total amount you want to mix and the surface temperature.
  3. Enter each additive and traction compound percentage. Products are listed VP first, then PJH, Rocket, and Renegade, followed by the remaining brands.
  4. For MEK, Methanol, and Other, type the actual brand in the blank field. For Other, enter the component/product name too. These details are saved with that mix and shown in reports.
  5. For each product used, choose its Container used: a 54-gallon drum, a 5-gallon pail, or a 1-gallon container. If you draw the same product from more than one size, choose Used more than one size and enter the amount from each. These amounts must add up to that product’s usage. Stock with no recorded size can be selected separately.
  6. Use the OPERATOR ADDS amounts to measure each product. MEK displays in fluid ounces or milliliters; other ingredients display in gallons or liters.
  7. The percentages must total 100%. Check the quantities, then tap RECORD MIX once.
  8. Read the confirmation: Mix uploaded means the server received it. Saved on phone — waiting to sync means it is stored locally and still needs to upload.

The temperature guide is a suggested compound level. The operator chooses the actual formula.

5. Work without a mobile signal

  1. Prepare before losing service: sign in on that phone, select the track, and open its mix form while connected. Wait for Offline entry ready on this phone. Open each track you need once while online.
  2. If service drops with the form open, continue entering mixes. If reopening the app without service, it opens the saved workspace. You can also tap Saved workspace near the top.
  3. Select the saved track, enter the mix, and tap RECORD MIX. Wait for Saved on phone — waiting to sync before leaving the form. Unsaved text is not a recorded entry.
  4. When mobile data or Wi-Fi returns, keep or reopen the app. It automatically attempts to upload saved entries. Sync now lets you retry immediately.
  5. If asked to sign in, reconnect and sign in with the same account that recorded the entries. Entries from another operator’s account are not uploaded under your name.
  6. Confirm that the waiting count disappears and review History or My Reports after refreshing. Retries use the original entry ID to prevent duplicate mixes and duplicate inventory deductions.

Some phones can upload in the background. For reliable uploading on all phones, reopen the app after service returns. First-time sign-in, adding a track, accepting invitations, inventory receipts, corrections, and loading current reports need a connection. Offline inventory and reports are not live.

Keep the app’s browser data on the original phone until all entries upload. Clearing browser data, uninstalling with data removal, or using private browsing can remove locally saved work.

6. Add inventory and understand your stock

  1. Open Inventory. At the top, find Receive Inventory / Order.
  2. Select the material. Every material offers Drum (54 gal), Pail (5 gal), and Container (1 gal). Choose the size you actually received.
  3. Enter the Number of containers. For example, 2 drums adds 108 gallons; 6 five-gallon pails adds 30 gallons. Fractional counts can represent partial containers.
  4. Optionally add a PO / Order number and note. Check Inventory to add, then tap ADD SHIPMENT TO INVENTORY. Internet is required.
  5. If the shipment contains different sizes of the same material, save each size separately. For one drum and two five-gallon pails, add 1 drum first, then add 2 pails.

Inventory On Hand

This is the stock summary. It shows total gallons and stock remaining in each original container size. You correct the saved receipt or mix that changed these totals.

  • Six 5-gallon pails start at 30 gallons. Using 7 gallons from the pails leaves 23 gallons / 4.6 pails.
  • One 54-gallon drum and two 5-gallon pails start at 64 gallons. Using 22 gallons from the drum leaves 32 gallons in drum stock plus 2 pails (10 gallons): 42 gallons total.
  • Decimal counts represent partial containers. The app tracks stock by container size, rather than individual numbered containers. Stock whose size was never recorded appears separately.
  • Uploaded mixes deduct the product amounts from the selected container sizes. Offline mixes affect server stock after upload.

History and reports

History shows saved mixes, dates, operators, products, brands, and amounts. Owner Report lets owners and managers review usage and inventory added. Inventory Transactions, below the entire stock summary, lists the saved receipts and stock movements.

7. Edit a mistake or zero an entry

Sign in as the track owner or manager and connect to the internet. Corrections update inventory and reports together. The original operator and date remain attached to the entry.

Correct a received shipment

  1. Open Inventory.
  2. Scroll down past the entire Inventory On Hand list to Inventory Transactions.
  3. Find the receipt. Tap Edit in the Actions column at the far right. On a narrow screen, swipe the table sideways to reach it.
  4. Correct the product, container size, or number of containers. The app calculates the corrected gallons. Older entries without a recorded size can be corrected by gallons.
  5. To cancel a mistaken receipt, tap Set amount to zero. To move an amount to the correct product, choose that product and confirm its size and quantity.
  6. Add an optional reason, check the corrected amount, then tap Save correction.

Correct a recorded mix

  1. Open the History tab and find the mix.
  2. Tap Edit at the far right of its row. On a narrow screen, swipe the table sideways.
  3. Correct the product and actual amount used. Choose gallons or liters, and confirm the container size the product came from. If you used more than one size, enter the amount from each; the split must equal that product’s corrected amount.
  4. If the wrong product was recorded, change the product selection, or tap Set this product to zero and Add a product for the material actually used. Check the brand and component name where applicable.
  5. To cancel all usage in a mistaken mix, tap Zero entire entry. The entry stays in History marked Zeroed entry.
  6. Add an optional reason and tap Save correction. The app restores the previous inventory deduction and applies the corrected usage.

If you cannot see Edit

  • “No inventory activity recorded”: this track has no saved inventory entries to edit. Add an actual receipt first. The stock summary lists every product even when nothing has been received.
  • Wrong section: Inventory On Hand shows totals. Edit receipts in Inventory Transactions; edit mixes in History. A stock row marked Correct in Mix History belongs to a mix.
  • Account role: employees and contractor-only logins do not have these Edit controls. Ask the track owner or manager to make the correction. TVC-supplied material mixes require a TVC administrator.
  • Recent update: refresh the app while connected. If needed, close the app window and reopen it. Keep any waiting offline entries on the original phone.
  • Someone already changed the entry: refresh, reopen Edit, and review the latest values before saving again.

Every saved correction retains its previous values, who changed it, when, and the reason if supplied. Open Edit → Previous corrections to review this history.

8. TVC contractors

  1. Choose TVC Contractor → Register with TVC, submit your details and PIN, and wait for Kurt’s approval. Then sign in with your contractor email and PIN.
  2. In Log Work, select the track where you are working. Add its name and location online if it is not listed.
  3. Enter the work date and time, choose whether materials came from The track or TVC, and describe how you prepped.
  4. Enter product percentages and actual brands, select which container supplied each product, then record the mix. If both sources supplied materials, record separate entries for each source.
  5. Use My Reports to review uploaded work. Offline entries stay in the waiting list until uploaded.
